Every proposal tool demo looks impressive. That is the problem. When you are evaluating software, the vendor controls the story, and every product can be made to look essential in a 30-minute call. The result is that most people choose based on the slickest demo rather than the tool that fixes their actual bottleneck.

This is a buyer's guide for consultants, advisors, and suppliers who want to choose well, not just choose whatever was demoed last.

Start with your bottleneck, not a feature list

The single most common mistake is comparing tools by feature count. Almost every proposal tool has documents, e-signature, and templates. Lining up checkmarks tells you almost nothing, because the checkmarks are all roughly the same.

The useful question is narrower: what is the one thing that most slows down or costs you deals today? Your answer points to the tool.

  • If your proposals look amateurish next to competitors, prioritize design and branding.

The questions vendors hope you will not ask

A good evaluation is mostly about pricing traps and hidden limits, not features. Before you commit, get clear answers to these:

  1. What is gated behind the next tier? The feature you saw in the demo is often two plans up. Ask which tier includes the specific things you need, then price that tier.
  2. Are there send or proposal limits? Some tools cap how many proposals you can send per month. If you are growing, that cap becomes a forced upgrade.
  3. Are there seat minimums? Several tools require you to buy multiple seats even as a solo operator, which quietly triples the real entry price.
  4. What does it cost at your top tier? Some tools jump from a reasonable mid plan to a several-thousand-dollar annual contract. Know where the cliff is before you climb toward it.
  5. Who owns your data, and where does the AI send it? If the tool uses AI, ask which model processes your content and under whose terms. For regulated work, this is not optional.

Vendors rarely lead with these answers because they are where the friction lives. That is exactly why you should ask.

Match the tool to how you actually work

A solo advisor closing a few high-value deals a year has different needs than an agency sending dozens of proposals a month. Be honest about which you are:

  • Solo and low-volume: you need something affordable with no seat minimums, that makes each proposal look polished. Do not overpay for team features you will not use.
  • Growing team: you need shared templates, seats you can add as you hire, and CRM sync so nobody does double entry.
  • Privacy-sensitive: you need control over where client data and AI processing happen, which usually means the ability to bring your own AI model.

The honest short version

The best proposal software is not the one with the most features. It is the one that removes your specific bottleneck at a price that stays sane as you grow. Demo for that, ask the uncomfortable pricing questions, and ignore the rest of the checklist.
